Controller
The controller for the website ellinofonia.org is Kyriakos Gold, 3 Albert Coates Lane, Melbourne VIC 3000, Australia. For anything about your personal data, write to [email protected].
When you visit the site
Our hosting provider, Cloudflare, processes the technical details of each connection, such as your IP address, device and browser type, the page and the time, to deliver the pages and protect the site from attacks. The legal basis is the legitimate interest in running the site securely (Article 6(1)(f) GDPR).
We use no analytics, advertising or tracking tools, and we share no data with advertisers.
Cookies and storage on your device
We use only what is strictly necessary to provide the service you ask for, in line with Article 4(5) of Greek Law 3471/2006. That is why we do not ask for cookie consent.
- ef_s: keeps you signed in to the Circle. Lasts 30 days or until you sign out.
- Browser local storage: the display and accessibility choices you make, and the draft of your Circle application. They stay only on your device and never reach us. You can clear them in your browser or with the reset in the Accessibility menu.
The Circle
If you apply to or join the Circle, we process your application details (name, email, institution and position, place, ORCID, links and publications, referee, expertise, statement and, if you wish, a photo), the variety you speak if you state it, your replies, corrections and claims as a member, and the IP address from which each sign-in link was requested.
Why, and on what legal basis:
- To review your application and run your membership: because it is necessary for the membership you ask for (Article 6(1)(b) GDPR).
- To check your identity and details: with your consent (Article 6(1)(a)).
- To credit accepted corrections to you by name and to show your photo publicly: only with your consent, which you can change at any time in your profile.
- The variety you speak may reveal ethnic origin. When you state it, we process it only with your explicit consent (Article 9(2)(a)).
- To limit abuse of sign-in links: legitimate interest (Article 6(1)(f)).
Only the editorial board sees your full application. Other members see your name, role, institution or place, expertise and photo. Only your accepted contributions appear publicly, with your name if you allow it.
No decision is made automatically. Every application is decided by people, the editorial board. The Circle is for adults.
Who else processes the data
- Cloudflare, Inc.: hosting, database and protection of the site.
- Microsoft: sending the Circle's emails.
- ORCID: only if you choose to sign in with ORCID.
We do not sell or rent personal data.
Transfers outside the European Economic Area
The controller is based in Australia and collects the data directly from you. Cloudflare and Microsoft may process data in the United States. Those transfers rely on the Data Privacy Framework between the EU and the US, under which both companies are certified, and on the European Commission's standard contractual clauses.
How long we keep data
- Cookies: as stated above.
- Sign-in links: expire after 20 minutes. Their record, including the IP address, is deleted after 30 days.
- Applications that are declined or withdrawn: deleted 12 months after the decision or withdrawal.
- Members: for as long as the membership lasts. If you leave, your details are deleted within 30 days. Accepted corrections stay in the Atlas history, without your name if you ask.
- Cloudflare technical logs: as set by the provider.
Your rights
You have the right of access, rectification, erasure, restriction, portability and objection, and you can withdraw any consent at any time without affecting the lawfulness of processing before the withdrawal. Write to [email protected] and we will reply within one month.
You can also complain to the Hellenic Data Protection Authority (www.dpa.gr) or to the data protection authority in your own country.
